An important refrigerating company distributes a great deal of its production directly to customers by its own trucks. In order to simplify administrative activities related to goods supplies, transfers of goods from warehouses, and stocktaking and in order to reduce mistakes, a decision was made on the installation of a mobile sale system will should be able to print out invoices and bills of delivery directly in the truck.

Falcon 4210 portable terminals with the WinCE 3.0 operating system were designed for such use. A special robust O’Neil dot-matrix printer, designed specifically for the operation in vehicles and capable of printing on ordinary tractor paper including carbon copies, is used to print out the documents.

The driver’s routine starts in the morning with a transfer of goods from the central warehouse to the mobile warehouse – a truck. The transfer of goods is carried out by the warehouse keeper and the driver and his terminal; the data are updated in the terminal as well as in the company information system in which the transfer of goods from a warehouse to a warehouse is performed. Each driver drives a regular line and, as soon as he reaches the customer, he identifies the customer by reading the ID in the form of barcode on the customer card and starts to release the goods from storage to the customer. Optionally, the code may be scanned from each carton or, if there are more equivalent cartons, from the first one after which the number of cartons is entered. At the same time, it is verified whether a supply contract regarding the released goods has been made. After the sale of goods has been completed, the following documents are printed out using the dot-matrix printer: bill of delivery, invoice or, as the case may be, cash receipt, with copies for both the customer and the supplier. After the driver returns to the base, the collected data are transferred from the portable terminal to the company’s IS and all created documents are automatically posted to accounts. In consideration of the data transfer rate and of the fact that the time needed for the transfer of data to the terminals of all drivers is very limited, wireless data transfer technology was selected. The dispatch area is covered by the 802.11b wireless network access point signal and as soon as the driver with the terminal gets within the range of the network, the data are transferred into the company’s network.

In the terminal, the level of goods in the local warehouse is kept updated and it is easy to carry out stocktaking at any time.

Introduction of such portable sale system resulted in the elimination of the driver-level administration, unequivocal and accurate records of goods of all mobile warehouses and elimination of manual copying of thousands of invoices from paper bills of delivery into computers and the subsequent sending thereof by mail.
